How to Put a Recording on Your Phone System
Updated October 2026
Every phone system is a little different. These general steps apply to most of them.
Step 1: Find the audio settings
Look in your phone or voicemail settings or admin page for greetings, announcements, hold music or audio.
Step 2: Check which file it accepts
Some systems take MP3, others ask for WAV. The manual or settings page usually says. HoldBytes gives you both.
Step 3: Upload the file
Choose the option to upload or replace, select your file, and save.
Step 4: If it only records by phone
Some systems only let you record by phone. In that case, play the file out loud near the phone while you record.
Step 5: Call and listen
Call your own number and listen to it as a customer would.
Step 6: Ask the provider if stuck
If you cannot find the setting, your phone provider's support can show you where it is.
