How to Script a Phone Menu

Updated October 2026

A phone menu should get callers where they are going fast. These rules keep it simple.

Step 1: List why people call

Write down the top reasons: sales, support, billing, hours. These become your choices.

Step 2: Keep it to four or five choices

More than that and callers forget the first ones.

Step 3: Put the most common first

Callers who hear their choice early can act right away.

Step 4: Say the choice, then the number

Say "For sales, press 1" so people listen for their reason before the number.

Step 5: Always offer a person

End with a way to reach someone, such as "To speak with someone, press 0."

Step 6: Record each prompt

Make the main greeting and each choice as its own recording in HoldBytes.
